Program Assistant

Are you a detail-oriented professional with a passion for supporting organizational excellence? We are seeking a dedicated Program Assistant to join our team and play a vital role in the smooth operation of our office and programs. Key Responsibilities:
  • Prepare and organize essential documents, including Requests for Proposals (RFPs), contracts, and reports, ensuring accuracy and compliance.
  • Transcribe correspondence, meeting minutes, and detailed documents with precision.
  • Draft and type various communication materials such as letters, memorandums, articles, reports, manuals, and bulletins, transforming rough drafts from copy.
  • Record and document committee meetings, including taking minutes, creating drafts, and distributing finalized copies.
  • Maintain organized files for minutes, correspondence, policies, and reference materials to ensure easy retrieval.
  • Manage and update contact lists for committees and stakeholders within your area of work.
  • Schedule appointments, coordinate meeting room reservations, and arrange logistics for events and training sessions.
  • Maintain an itinerary for assigned professional personnel to support scheduling needs.
  • Proofread all documents to ensure grammatical accuracy and consistency.
  • Assist with meal assessments, including collecting and verifying relevant documentation.
  • Support quality assurance reviews for aging programs to uphold service standards.
  • Keep a neat, organized, and efficient work environment.
  • Travel as required for training, meetings, or site visits.
  • Perform other administrative duties to support the overall efficiency of the office.
  • Adapt to additional responsibilities as assigned, contributing to a collaborative team environment.

Qualifications & Skills:
  • Strong knowledge of best practices in office procedures and administrative functions.
  • Excellent command of business English, spelling, and basic math.
  • Familiarity with government organizational structures, procedures, laws, and regulations related to public programs.
  • Proficient in modern office equipment and technology.
  • Working knowledge of Microsoft Office Suite (Word, Excel, Publisher, and other relevant programs).
  • Capable of drafting complex correspondence and reports with minimal supervision.
  • Skilled in maintaining effective working relationships with colleagues, officials, and the public.
  • Ability to work efficiently under pressure and tight deadlines.
  • Maintains professionalism and composure in stressful or interruptions-heavy environments.
  • Strong organizational skills with keen attention to detail.
  • Demonstrates flexibility, time management, and the ability to prioritize tasks effectively.
  • Ability to analyze financial and statistical data accurately.
  • Self-motivated with initiative, resourcefulness, and good judgment.
  • Exceptional communication skills and a high level of professionalism.
  • Ability to operate a vehicle, with a valid driver’s license, for work-related travel.

Physical & Work Environment:
  • Primarily seated at a desk, with intermittent standing, walking, and stooping.
  • Extensive typing and document preparation required.
  • Ability to lift lightweight objects (less than 25 pounds).
  • Work may include outdoor activities and travel in various weather conditions.
  • Work environment includes indoor office noise and occasional interruptions.

Tools & Equipment:
  • Standard office equipment including computers, copiers, fax machines, and telephones.
  • Reliable vehicle for travel as needed.

Licensing & Certification:
  • Valid driver’s license required and must be maintained throughout employment.

Work Schedule:
  • Full-time, Monday through Friday, 8:00 a.m. to 4:30 p.m.
